Job Title: Maintenance Purchasing and Inventory Administrator 

Department: Maintenance and Projects  

Reporting to: Maintenance and Projects Manager 

Location: Tiverton, Ontario 

 

Greenfield is looking for a temporary Maintenance Purchasing and Inventory Administrator to join our growing team.

Who You Are: 

  • Completion of post-secondary education in a trade or business background with focus on purchasing. 

  • Minimum of three years relevant work experience. 

  • Experience with CMMS such as Maximo system and D365 would be an asset. 

 

Your Experience Should Include: 

  • Experience reading and using P&ID drawings. 

  • Resourceful and practical, with demonstrated problem-solving and decision-making capabilities. 

  • Strong organizational skills paired with an ability to manage multiple priorities with competing demands. 

  • Focused individual who works to achieve department objectives while maintaining safety standards. 

 

Job Responsibilities: 

  • Prepare and complete purchase orders for spare parts, tools, services and equipment related to the maintenance department requirements using GGI purchasing standards. 

  • Responsible for parts inventory including stock room organization and inventory accuracy. This includes: 

  • Ensuring required spare parts are inventoried for designated critical assets and within site specifications. 

  • Maximum and minimum inventory is defined and operational. 

  • Process automatic reorders and audits applicability to new spare parts. 

  • Work with maintenance staff to ensure all parts are properly received, inventoried and invoices forwarded for payment. 

  • Accountable for vendor-managed inventories by reviewing vendor-provided bi-annual reports. 

  • Maintain an up-to-date record of inventory of spare parts and maintenance equipment. Identify variances between actual and acceptable inventory levels. 

  • Contribute to establishing acceptable spare parts inventory levels based on frequency of usage. Criticality of equipment and delivery time. 

  • Investigate all warranty issues with vendors. 

  • Work with the maintenance team to prepare contracts. 

  • Work with Maintenance Planner to track and implement capital projects inventory and ensure all new assets are input in Maximo (CMMS). 

  • Work with vendors to complete the design of items within GGI requirements before ordering occurs. 

  • Prepare and complete purchase requisitions and place purchase orders for all Plant expenditures. 

  • Participate in any Maximo system upgrades or changes specific to purchasing and inventory. 

  • Working with the plant team to manage the internal standards documentation and ensure that all equipment being procured matches these standards; update the standards as required. (This is a shared task within the maintenance team). 

  • Purchase all plant chemicals and maintain all receiving records for ordered items. 

  • Maintain internal controls over the requisitioning and issuing of items; adhere to purchase order system; deliver supplies to appropriate departments. 

  • Responsible for annual inventory count for finance at year-end. 

  • Responsible for maintaining a high standard of housekeeping and advocating 5S opportunities within facility. 

  • Participate in continuous improvement initiatives, including Root Cause Analysis, HAZOP, and design review. 

  • Other duties and responsibilities aligned to business objectives and in support of our core principles.  

  • Comply with all Company health and safety, food safety, environmental, and quality policies and regulatory requirements.
