WHAT YOU WILL DO

Reporting to the General Manager, Field Programs and Quality Assurance, you are responsible for coordinating Airside operational activities in support of the day-of delivery and maintenance teams. You will support all Airside operational programs including airfield/apron operations, field maintenance, fleet and regulatory compliance; assisting in the development of operational documentation, training material and departmental communications, with a specific focus on program analysis and data capture. Additionally , you are the Airside department’s liaison for HR, IT, accounting, safety and security regarding the field maintenance centre. Your strong organization skills and ability to balance competing demands will assist in the coordination of office administrative tasks; considering the drive for safety, compliance and operational efficiency. You are comfortable in a spread sheet and will assist preparing financial reports and data analysis related to the delivery of the airside programs.

RESPONSIBILITIES INCLUDE:

  • Collect, analyze, and interpret complex data from our operations to assist in continual improvement of all Airside Operational Programs.
  • Coordinating planning sessions with both internal and external stakeholders in regard to Airside Operational Programs, and participating in change initiatives across the department
  • General administration assistance for the Sr. Director, Airfield and General Managers including but not limited to scheduling and calendar management
  • Administrative support for the Airside Maintenance Centre including participation in the on boarding of new hirs, drafting of short memos and communications for the team, preparing meeting minutes and presentations, and office supply management.
  • Scheduling and coordinating meetings, committees, and working groups. Organize airside special events for both internal and external stakeholders.
  • Provide project support for construction and technology projects impacting Airside. This includes creating, reviewing and updating operational documentation impacted by the project.
  • Assist with the implementation and enhancements to programs as a result of a procedural, regulatory or project change
  • Participate change initiatives related to Airside Operational Programs as directed
  • Research, analyze and discuss recommend best practices and regulatory requirements with regards to Airside Operations to support the Programs at YYC

WHAT YOU BRING

  • Minimum 3 years working in the aviation industry or equivalent complex operational environment
  • Strong analytical and research skills
  • Experience in preparing schedules, memos and briefing notes
  • Excellent verbal and written communication skills
  • Advanced knowledge in MS Office products (Word, Excel, PowerPoint, Outlook, Teams, SharePoint, Power Automate)
  • Ability to deliver in a climate of ongoing evaluation and changes
  • Administrative support of budgets
  • Ability to problem solve and bring order to conflicting priorities
  • Ability to work well both individually and in a team environment; ability to work well with a variety of personalities
  • Ability to prepare management reports, correspondence, minutes, and other documentation as requested
  • Excellent planning, organizational, and time management skills with the ability to deal with multiple projects simultaneously.
  • Experience in coordinating projects, including developing project plans to track and communicate the status of activities.
  • Ability to read drawings and interpret written procedures and other operational documentation
  • Strong knowledge base in the area of airport operations, systems and management is an asset

WHAT ELSE

  • Degree in aviation or business administration, communications, technical writing would be considered an asset.
  • Knowledge of data systems for incident management, asset management, fleet management would be considered an asset.
  • Must be able to obtain and maintain a restricted area identification card (RAIC), Radio Operators Certificate (ROC), and Airside Vehicle Operating Permit (AVOP).
  • Meet the requirements of a safety sensitive position.
