POSITION OVERVIEW:

Reporting to the Distribution Administration Manager, the Distribution Administrator will support the day-to-day administrative operations of the business unit by working on monthly financial activities and the creation of P&L statements for each district. This role is also responsible for the execution and payment of time sensitive expenditures and submission of monthly expense analysis. The role will require familiarity with all of our partners, concepts, practices and procedures.

 

RESPONSIBILITIES:

  • Support the monthly and annual collection of confidential budget expenses for Globe, GDS and NYT.
  • Prepare time sensitive and confidential monthly expense accruals and forecasting activities.
  • Monthly expense analysis and being mindful of cost containment. Compile/calculate budget information based on current activity, prior spending and/or trends, to ensure accuracy.
  • Manage, prepare, and process AR/AP to our delivery partners and other vendors.
  • Prepare and manage Fuel Program payments – issuing bi-weekly and monthly payments to delivery partners, based on contractual arrangements.
  • Perform expense inquiry for delivery partners and vendors.
  • Prepare district P&L analysis that supports the department, Procurement, and financial approval processes.
  • Support the department by preparing reports and analyzing data relating to Single Copy sales.
  • Participate in route optimization process, supporting the Logistics team.
  • Review and verification of Print Plant invoice data against Globe records.
  • Work closely with other business units on special projects, as required.

 

 QUALIFICATIONS:

  • Post-secondary education in a business-related field.
  • 3-5 years of experience in logistics, administration and project based work, demonstrating customer service focus, creative thinking, problem solving, and excellent organizational and time management skills.
  • Strong attention to detail, accurate and well organized.
  • Understanding of accounting and financial principles, logistic operations.
  • Tracking and analyzing Budget Expenses.  Ability to interpret numerical and financial data.
  • Database management; comparison analysis.
  • Understanding of Distribution (logistics, delivery, trucking, invoicing, pricing, plant operations)
  • Advanced proficiency in MS Excel
  • Knowledge of BW and SAP would be an asset.
  • Working in a team environment, as well as the ability to work independently.
  • Ability to multi-task and effectively manage time and competing priorities.
  • Self-starter, customer-serviced focus, critical thinking
  • Strong interpersonal, written, and oral communication skills
