Executive Assistant – Office of the CEO

Full-time 14-Month Contract - $47,300/yr

Science North is seeking a highly organized and driven individual to take on the role of Executive Assistant – Office of the CEO. This pivotal position provides direct, high-level executive support to the CEO’s Office, including key interactions with the Board of Trustees and its Committees. The successful candidate will operate with a high degree of professionalism, confidentiality, and efficiency, playing a key role in ensuring the smooth operation of the CEO's office.

The ideal candidate will have exceptional communication skills, the ability to manage competing priorities, and the interpersonal acumen to support executive-level decision-making and stakeholder engagement. This role requires discretion, tact, and the capacity to function under pressure in a fast-paced, dynamic environment.

As the Executive Assistant – Office of the CEO you will:

  • Serve as the primary point of contact between the CEO and internal/external stakeholders, ensuring effective communication and appropriate prioritization of tasks and meetings.
  • Provide executive-level support by managing complex schedules, coordinating high-priority meetings, preparing agendas, and ensuring the CEO is well-prepared for all engagements.
  • Handle sensitive and confidential information, exercising discretion and professionalism in all matters.
  • Coordinate and facilitate all logistics for executive travel, including detailed itineraries, accommodations, and transportation arrangements.
  • Oversee the preparation and distribution of Board of Trustee materials, meeting minutes, and governance documents, and manage key relationships with Board members and Committees.
  • Lead the organization of high-profile events, including stakeholder and staff meetings, Board meetings, and key functions driven by the CEO's office.
  • Anticipate the needs of the CEO, acting proactively to provide solutions and manage emerging priorities efficiently.
  • Conduct research, compile data and maintain databases and master documents.
  • Determine and establish office procedures, order office supplies, and maintain inventory.
  • Provide exceptional customer service, with a hospitality mindset when receiving internal and external stakeholders to the Office of the CEO.

Qualifications:

  • Post-secondary education (2-year college diploma minimum) in a related field
  • Demonstrated experience in an administrative role
  • Excellent computer skills with proficiency in Microsoft Office 365 software
  • Ability to work independently and in a team environment
  • Class G driver’s license with 3 year clean driving record (non-negotiable)
  • Fluency in French is an asset

This is role is based out of our main facility at 100 Ramsey Lake Road, Sudbury and requires predominantly onsite work, Monday to Friday, with occasional need for evening and weekend work. Not suitable for remote work.
