About the Role: 

The Office Administrator will oversee coordination and administrative support onsite at the Thunder Bay office. The role is responsible for a variety of administrative functions related to operations at the Thunder Bay Community Centre and within the residential housing portfolio of the Thunder Bay District.

What you will be doing:

Thunder Bay Community Centre Administrative Responsibilities

  • Perform general administrative functions as needed
  • Organizing reports, emails, faxes, letters, and other forms of correspondence and documentation
  • Digitizing paper files, proofreading, editing, and photocopying
  • Data entry into databases or other file storage systems
  • Provide progress reports to management
  • Respond to walk-ins and address general concerns when required
  • Assist in monitoring parking lot for unauthorized vehicles
  • Maintain office supplies levels and inventory
  • Maintain onsite filing systems
  • Manage office meeting room booking calendars and arrange meetings
  • Respond onsite to after-hours emergencies (heating, security, vandalism, plumbing, etc.)
  • Participate in the after-hours emergency on-call schedule to insure 24-hour coverage (on rotation with other staff) on an occasional basis
  • Perform other clerical duties and responsibilities as assigned by management
  • Must be able to lift up to 25 pounds at a time

Residential Properties Responsibilities

  • Create purchase orders for maintenance services and verify service completion
  • Update KPI report, vendor lists, calendars, email inboxes and other spreadsheets as needed
  • Provide maintenance administrative support in absence of a maintenance team member
  • Provide administrative support in the absence of the Property Administrator
  • Assist Property Inspector with administrative requests such as Notice of Entry/mail outs, etc.

Qualifications:  

  • Administrative or customer service experience
  • Strong desire to act in the service of Métis Citizens, to advance and uphold rights and culture
  • Minimum of a high school diploma
  • A high degree of technology literacy and proficiency in standard office equipment
  • Advanced communications skills, both written and verbal

Preferred Qualifications

  • Post-secondary education in Office Administration
  • 1-2 years previous experience in a similar/comparable role
  • 1 year work experience in residential property management
  • Some familiarity with Landlord and Tenant issues
