The Opportunity:

McElhanney is seeking a dedicated and experienced Senior Office Administrator to join our team. This full-time, in-person role is based at our Vancouver office (ie 5 days a week in our Vancouver office). The successful candidate will oversee and manage our front desk operations and financial support functions. This role is essential in ensuring smooth day-to-day operations, offering exceptional service to clients and staff, and maintaining efficient financial processes.

 

What You’ll Be Doing:

  1. Office Management & Supervision (50% of time):
  • Team Leadership: Supervise, mentor, and coach a team of 3-4 Accounts Payable/Accounts Receivable staff. Provide guidance, support, and professional development opportunities.
  • Office Inventory: Manage and maintain office inventory, ensuring that supplies are well-stocked and organized.
  • Building Maintenance: Liaison with the landlord and oversee building maintenance schedules and activities to ensure a well-functioning and safe office environment.
  • Front Desk Operations: Oversee and be responsible of the front desk operations to greet clients, staff, suppliers, and couriers. Handle phone calls, mail, and courier deliveries with professionalism and efficiency. Preference is for this role to be stationed at the front desk area.
  1. Accounts Payable & Receivable (50% of time):
  • Accounts Receivable: Develop and submit invoices to clients. Ensure timely and accurate billing and follow up on outstanding payments.
  • Accounts Payable: Process payments to sub-consultants and suppliers. Manage financial transactions, ensuring accuracy and compliance with company policies.

 

What You’ll Bring:

  1. Qualifications:
  • Experience: Minimum of 5 years of progressive experience in a similar role, with a strong background in accounts payable and receivable preferred. Previous experience with attracting, hiring, mentoring and retaining administration staff would be preferred.
  • Education: Relevant educational background in business administration, accounting, or a related field is preferred.
  • Proficiency with MS Office (Word, Excel, PowerPoint, Teams, etc.)

  • Time Management: Outstanding organizational and time management abilities.
  • Independence: Able to work autonomously with minimal supervision.
  • Time Management: Exceptional organizational and time-management skills.
  • Leadership: Proven leadership and training skills, with experience in guiding and developing a team.
  • Self-Starter & Takes Initiative: Track record of taking initiative and proactively solving administration related challenges before it becomes a challenge with minimal oversight
  • Friendly, respectful, and approachable demeanor.

 

Salary Range: $70,000-95,0000 Per annum. McElhanney offers fair compensation that is commensurate with the individual’s education, experience, skills, and professional qualifications. The posted base salary range is representative of the required level of qualifications and experience for the position as noted in the job posting. The salary offered will be based on the experience and qualifications of the successful candidate.
