POSITION SUMMARY:

Reporting to the Manager, Mortgage Loan Originations, the Team Lead, Mortgage Loan Originations position is responsible for providing support to the Mortgage Loan Origination team in the form of management support as well as relief in processing mortgage applications.  This role liaises directly with the Sales Team and any associated third-party to satisfy all the conditions required for the advancement of files through to funding.  This position also plays a leading role in the risk management of the business as it relates to securing valid enforceable security on every mortgage and ensuring full adherence to the Bank’s policies and procedures and regulatory requirements.

In addition to providing relief for the Team, the Team Lead is also responsible for setting targets, training and coaching of the Mortgage Loan Origination team to achieve and exceed those set targets.  The Team Lead will also be responsible for pipe management.  As a result of these responsibilities and experience of the individual, this role will be a critical contributor for Learning and Development within the team and act as a Subject Matter Expert (SME) for any IT initiatives.

It is critical that the Team Lead has a collaborative relationship with the Bank’s other departments, particularly the Sales Team.  As the day-to-day face of the Mortgage Originations Department, Team Lead must lead by example and ensure healthy, effective relationships within the Bank are fostered.  At the same time, it is equally critical that the Team Lead maintains independence to be able to make appropriate decisions in regards to quality control to ensure valid and enforceable security on every funded mortgage.

MAJOR ELEMENTS OF THE ROLE:

The role of the Team Lead is to manage, resolve issues, audit and process the origination of new mortgages from receipt of application through to funding of the mortgage.  This individual although part of Mortgage Operations will partner with Sales Agents and Leadership and act as a resource for questions and training concerns.  The Team Lead will have a key role to play in ensuring that the Sales Team is aware of specific file requirements to ensure files move through to funding in a timely manner.

SPECIFIC RESPONSIBILITIES INCLUDE:

  • Coordinates with various internal clients and partners (Sales Agents and Underwriters) and external partners (Appraisers, other Lenders, Insurance agents, and Provincial lawyers)
  • Ensure a client focused experience – a mortgage structured to meet the client’s needs, funded on the client’s requested timeline;
  • Ensure a properly executed mortgage – a mortgage registered on title providing the Bank with the required appropriate security for the loan;
  • Title searches, with a large focus on the collection and review of documentation required to satisfy all conditions and ensure all applicable laws, regulations, and internal policies have been respected.
  • Manage the Subsequent Advance portfolio and process all requests received from our Clients in a timely and accurate manner.
  • Review the existing Subsequent Advance process and provide recommendations and suggestions for process improvement and efficiencies.
  • Act as a key contributor in developing automation and efficiencies in the processing of the Subsequent Advance product.
  • Act as the Lead for pipe management reporting and conduct follow up (as required) with the Mortgage Loan Originators and Sales team.
  • Review and make recommendations to management to enhance learning and development in the team.
  • Monitor and respond to e-mails through various distributions queues in a timely manner  (Mortgage Status Update, Funded MLO, Operations Managers, etc)
  • Provide training and mentoring to new and existing staff as required.
  • Acts as a Subject Matter Expert (SME) for any IT initiatives.
  • Set goals and coach the team towards said goals
  • First point of contact between Mortgage Origination and Sales Management  
  • Responsible for providing Funding Reporting and Key performance metrics to Operations management (targets vs projections vs actuals)
  • Lead recurring meetings between Operations and Sales Management
  • Actively participate in and lead meetings with internal and external partners  
  • Special Projects as assigned by Management

This role is fast paced with a consistent workload.  Expectations are to have a positive client and partner experience every time coupled with accuracy of work and files that fund on time.

SKILLS AND EXPERIENCE REQUIRED:

  • University Degree or Community College Diploma;
  • 5 years+ mortgage processing experience in a Financial institution an asset
  • Sound understanding of the current financial services environment;
  • Results oriented individual and able to manage time-sensitive information;
  • Ability to think critically, demonstrates solid problem-solving skills and good judgement;
  • Strong communication and conflict management skills;
  • Exceptional Presentation Skills
  • Strong analytical skills and attention to detail
  • Thrives on variety and continuous improvement;
  • Strong computer skills (Excel, Power Point, Outlook, Word, Access and Internet)
  • Well organized and is equally comfortable working on their own as well as being a contributing member of a collaborative team.
  • Strong Relationship Management Skills
  • Ability to train and coach team members while providing feedback
  • Bilingual skills (English & French) an asset
