About the Position:

 

The Executive Assistant to President and CFO will be responsible for providing high-level administrative services and support. The EA’s objective is to reduce the amount of administrative time required by the President and CFO and generally assist in optimizing the use of her time.


Key Functions and Responsibilities:

  • Perform a wide range of administrative and general duties of a highly responsible and confidential nature
  • Deliver sophisticated calendar management to include, prioritize requests while avoiding conflicts and ensure smooth day-to-day engagements
  • Provide a “gateway” role, providing a bridge for smooth communications between CFO and staff
  • Overseeing all incoming and outgoing communications, including emails, reports, and internal correspondence
  • Provide daily briefings and serve as the primary point of contact for internal and external contacts; keeping the CFO updated; anticipate the CFO’s needs in advance of meetings
  • Oversees special projects, including conducting research and creating reports
  • Respond promptly to CFO’s queries
  • Provide administrative support to the Board of Directors
  • Maintain a schedule for internal and external meetings, contacts, and files
  • Review correspondence – initializing action where possible
  • Ensure meeting/informational materials are provided as needed
  • Complete minutes, to-do lists and follow up to ensure tasks are completed on schedule
  • Act as a representative and liaison for the CFO where required
  • Assist other senior executives as assigned
  • Ensure proper filing and controls are in place to incorporate proper Operational Control and Legal filings are properly monitored and filed
  • Assist with Risk and Insurance requirements

 

Required Skills and Abilities: 

  • Excellent interpersonal skills, professional and mature attitude
  • Strong writing skills and ability to draft correspondence that is clear, concise, and grammatically correct
  • Excellent communication skills – ability to confidently handle oneself with a wide range of personalities
  • Ability to represent the CFO in a professional and polished manner
  • Strong organizational, time management, and priority setting skills to meet tight timelines
  • Proven self-starter who takes initiative and thrives in a fast-paced environment
  • Ability to exercise discretion and tact in sensitive and confidential situations – must keep private information secure and in the strictest confidence
  • Exceptional administrative and problem-solving skills
  • Keen eye for detail and accuracy; exceptional attention to detail
  • Must be creative and enjoy working in a high-paced, growth environment
  • Ability to operate independently with minimal supervision

 Education and Experience: 

  • Minimum 5 years of experience in a similar position
  • Highly proficient in Microsoft Office
  • Related diploma/degree or training
