Legal and Administration  Coordinator – Income Producing Properties (IPP)

About the Position:

This newly- created position reports to the Team Lead, Legal and Collection.  Primary responsibilities  will be to assist the Team Lead  with the monthly legal process relating to the Residential Tenancies Act. The Role also supports the Lease Administration Team on an as-needed basis and under the direction of the Manager of Administration, IPP.

The Role will evolve in-line with Equiton’s high-growth long-term strategy. We need someone flexible and responsive to a high-growth culture, with the ability to build relationships in a proactive and engaging environment.

Key Functions and Responsibilities:

  • Support the Legal and Collection Administrator with the legal process, such as:
    • Gather L1 (Application to evict a tenant for non-payment of rent) documentation
    • Prepare and file N5’s (Notice to End your Tenancy for Interfering with Others, Damage or Overcrowding) on a timely basis
    • Manage the N8 (Notice to End your Tenancy at End of Term) process as per the Residential Tenancies Act
    • Prepare N4’s (Notice to End your Tenancy Early for Non-Payment of Rent) monthly when assistance is needed
  • Provide monthly past collection files to third party collection company, including updating internal spreadsheet and monthly reporting to Executive Team
  • Monitor designated emails on a timely basis, such as Resident Insurance, PM Temp, and Inquiries
    • Resident Insurance – Update resident profiles and provide monthly reports
  • Document City Orders by property/Regional Manager
  • Assist in the preparation of Above Guideline Worksheets for respective residents, and process Resident Letters once AGI Order has been approved
  • Assist in developing Resident Forms (fillable) and support site staff with their usage
  • Process N9 notices (Tenant’s Notice to End the Tenancy), including confirmation letters
  • Assist Portfolio Administrators during heavy workload cycles to meet deadlines
  • (move-ins/move-outs and applications)
  • Manage the Resident Manager’s Teams Folder with Policies & Procedures, Pictures, current updates and related information for their reference
  • Other tasks as required to support and enhance the needs of the Department

Education and Experience: 

  • Proficiency in Excel, Word, and PowerPoint
  • Preferred knowledge of Yardi Software
  • Preferred experience in property management or similar role
