About the Position: 

 

At Equiton, we succeed when our people are thriving.  We are currently looking for an Executive Assistant to Founder and CEO to be a driven, highly-organized force who empowers our executive team.  The ideal candidate is a proactive problem solver with exceptional communication and project management skills while paying close attention to details. Given the dynamic nature of our executive team, we rely on flexibility and consistency while maintaining the highest standards of confidentiality and professionalism.

Key Functions and Responsibilities: 

  • Support the CEO to ensure that company goals and projects are accomplished and that operations run efficiently 
  • Deliver sophisticated, accurate calendar management and scheduling to prioritize requests while avoiding conflicts and ensuring smooth day-to-day engagements 
  • Ensure accurate meeting materials are readily available to support and facilitate effective flow of information 
  • Capture precise and thorough meeting minutes and action items, follow through on updates as required to ensure business momentum is maintained  
  • Act as a “gateway”, providing a bridge for smooth communications between CEO and staff 
  • Overseeing all incoming and outgoing communications, including emails, phone calls, reports, and internal correspondence  
  • Review correspondence and initiate action where possible 
  • Provide regular briefings and serve as the primary point of contact for internal and external contacts; keep the CEO updated as appropriate 
  • Provide project management support for special projects, including conducting research and creating reports and presentations 
  • Respond promptly to CEO’s queries 
  • Assist other senior executives as assigned and act as back-up to CFO’s EA 
  • Travel within the GTA as required. NOTE: this position will be based out of our Burlington office on Mondays, Wednesdays, and Fridays and from our Toronto office on Tuesdays & Thursdays 
 

Required Skills and Abilities  

  • Strong communication skills, both verbal and written - ability to draft correspondence that is, concise and grammatically correct 
  • Meticulous eye for detail and accuracy 
  • Efficient project management skills highlighted by the ability to maintain multiple timelines, action items, files and follow ups for multiple projects from a variety of business units 
  • Strong organizational, time management, and priority setting skills to meet tight timelines 
  • Ability to represent the CEO in a professional and polished manner - ability to confidently handle oneself with a wide range of personalities and entities (business partners, clients, board members, employees, etc.) 
  • Proven self-starter who takes initiative and thrives in a fast-paced environment 
  • Ability to exercise discretion in sensitive and confidential situations – must keep private information secure and in the strictest confidence 
  • Exceptional administrative and problem-solving skills 
  • Must be creative and enjoy working in a high-paced, growth environment 
  • Strong judgement - ability to operate independently with minimal supervision 

Education and Experience:  

  • Minimum 5 years’ experience in an administrative role reporting directly to senior management 
  • Degree or diploma in a related field  
  • Must be highly proficient in Microsoft Office
