Stratford Orthodontics is looking for a passionate and energetic full-time Permanent New Patient Coordinator to join our well-established practice in Stratford, ON.

About the role:

The New Patient Coordinator is a key member of the administrative team, responsible for new patients’ smooth transition into the Practice, patient scheduling, statuses, and patient relations. As the first point of contact, the New Patient Coordinator addresses new patient requests received via telephone, email, mail, fax, and walk-ins.  This role manages the new patient from the referral, booking, and confirmation of their new patient appointment.

What you will be doing - key responsibilities:

  • Take all New Patient (NP) calls and make follow up calls.
  • Send out all New Patient (NP) information.
  • Managing referrals coming to the practice by following the SOP. 
  • Manage patient statuses and ensure that appointments are booked or archived accordingly.
  • Enter relevant patient information into the computer and file all incoming correspondence and x-rays once they have been scanned.
  • Maintain and update patient records with accuracy and confidentiality. Ensure all documentation is complete and compliant with legal and practice standards.
  • Answer the telephone to direct calls, take messages, assist with patient emergency calls and answer general inquiries
  • Be an active participant in staff meetings and committee meetings.
  • Work cohesively with fellow team members to provide an atmosphere of trust, mutual respect, and cooperation.
  • Perform other administrative tasks as assigned by the Doctor and Practice Manager.

What you bring – qualifications:

  • 1 year of administration experience within a dental office setting (asset)
  • Working knowledge of Microsoft Office suite; proficiency with orthodontic management software systems is an asset.
  • Exceptional interpersonal and communications skills (verbal and written), with a proven ability to build strong relationships and rapport with patients, parents, doctors, fellow team members and the community.
  • Keen attention-to-detail and time management skills.
