Summary:

The Construction Projects Administrative Assistant, working closely with the Project Manager and Project & Development Services team in the Canderel Montreal office. They will primarily be responsible to assist the Project Manager in day-to-day project management activities for the development and construction of mixed-use developments. Responsibilities:

  • Day to day coordination on projects with responsibility of communicating, documenting and maintaining project details with various project team members
  • Assist the PMs with the coding and tracking of invoices to ensure timely payment
  • Liaise with internal and external team members to ensure the approval of the GC’s payment requisitions in compliance with the cost consultant’s requirements
  • Monitor budgets and deliverables in conjunction with Project Manager, ensuring contractual agreements are maintained
  • Maintain the flow of information and documentation efficiently
  • Maintain accurate and up-to-date logs ensuring proper filing/tracking of information relevant to contracts, reports, revisions, and drawings
  • Complete tasks for new project setup, maintain project files, including but not limited to: submittals, correspondence, project directory, RFIs, drawings, contracts/purchase orders and change orders
  • Shop drawing review process – manage and ensure efficiency and timeliness of reviews/approvals
  • Assist in the change order process
  • Create and manage purchase orders
  • Compile close out documents (including but not limited to as-built drawings, contractor warranties & guaranties)

Qualifications & Competencies:

  • Diploma in relevant field and 3 to 5 years of experience;
  • Experience in project management at the administrative level (asset)
  • Ability to work under pressure;
  • Prioritization of tasks and great sense of organization;
  • Knowledge of accounting;
  • Excellent knowledge of the Microsoft Office Suite ;
  • Knowledge of CAD software (an asset)
  • Excellent command of French;
  • Advanced knowledge of English. Required to produce external and internal reports for customers/partners outside Quebec.
