ABOUT THE ROLE

 

Provides support to Executive Vice President, Administration, Director, Legal and the Senior Insurance Coordinator with respect to matters related to insurance for Head Office and Bulk Barn Stores (franchised and corporate) including, without limitation, Commercial General Liability Insurance, Property and Automobile coverage, Marine Cargo Insurance, Directors & Officers Insurance, Errors & Omissions Insurance and shareholder personal insurance policies.

 

Duties and Responsibilities

 

  • Communication
    • Helps to handle all communications and co-ordination with insurance broker and insurance company.
    • Responds to franchisee queries regarding insurance coverage, from time to time.
    • Reports insurance incidents to insurance broker; follows up with broker and insurance adjusters to provide information to expedite the resolution of claims; liaises with franchisees and finance department to quantify the loss; and arranges for proof of loss forms to be executed by franchisees, as required. Advises broker of new locations to add and locations to remove from coverage.
    • Advises broker of changes to franchisee or landlord additional named insureds, as required.
    • Follows up internally and with broker concerning the location of any off-site (temporary) inventory storage locations.

 

  • Project/Task Management
    • Helps to review quarterly loss report received from insurance broker and compares to internal logs to ensure that claims are properly reflected. 
    • Helps to maintain up-to-date insurance incident and claim logs.
    • Helps to maintain up-to-date master schedule of named insureds and insurance coverage limits for store locations.
    • Helps to review, in full detail, insurance summaries and policy documents to ensure renewal coverage is correctly reflected.
    • Helps to maintain up-to-date insurance files including annual renewal file with documentation supporting all aspects of the renewal.
    • Helps to co-ordinate all aspects of shareholder personal property and liability insurance policies, including day-to-day management and annual renewal.
  • Problem Solving
    • Involvement with incident reports received at head office (incident intake) and liaising with customers, franchisees and corporate staff (customer service, merchandising, real estate, distribution centre, etc.), as required, to investigate incidents.
    • Liaises with management concerning possible settlement of small claims that will not go to insurance.

 

  • Accountability
    • Responsible for assisting the Senior Insurance Coordinator in all aspects of Directors and Officers insurance and Errors and Omissions insurance, including annual renewal.
    • Responsible for assisting the Senior Insurance Coordinator in all aspects of the Commercial General Liability and Property Insurance programs including, without limitation, preparing timetable for renewal; assessing adequacy of existing coverage and canvassing management concerning the need for further coverage; review of insurance summaries and certificates prepared by the insurance broker; review of premium analysis; preparing renewal correspondence to send to franchisees; collection of premiums;  and preparation of correspondence to be sent to landlords regarding annual insurance certificates.  Responsible for assisting the Senior Insurance Coordinator in all aspects of Marine Cargo insurance.  Maintains Marine Cargo Container Shipment Log and distributes same to insurance broker as log is updated.  Responsible for annual renewal of Marine Cargo policy.
    • Responsible for reporting landlord systems testing to the insurance broker.

 

  • Job Knowledge
    • Maintaining a working knowledge of coverage under the insurance policies along with applicable exclusions and deductibles.  Maintaining a working knowledge of the claims process and the areas of coverage and recovery that are critical to the Company’s business.

 

  • Push for Results
  • Follows up with broker to receive timely quotations for new coverage; confirmations once new coverage is added; premium rates; renewals binding the various policies; renewal packages for distribution to franchisees; and copies of all policy documents.
  • Follows up with broker to obtain timely interpretations of coverage when necessary.
  • Follows up on status of all open claims.
  • Ensures that any new corporate vehicles are added to insurance policy and that auto insurance slips are distributed to drivers of those vehicles.

 

  • Detail Orientation
    • Ensures accuracy of insurance and investigation information received, documented and recorded.
    • Identifies, reports and corrects discrepancies in a timely manner.

 

  • Teamwork
  • Co-ordinates insurance billings to franchisees and collection of premiums.
  • Coordinates with the Merchandising and Logistics departments as needed on Marine Cargo Insurance requirements.
  • Assists with completion of insurance renewal applications and assembles information necessary to obtain competitive insurance quotes.
  • Assists customer service with claims that can be resolved internally by coordinating execution of a release in exchange for a settlement payment.

 

  • Promotes and works to maintain workplace wellness, health and safety, through active compliance with all workplace health and safety policies and procedures.

 

  • Any other duties as required.

Education & Skills

  • Post-secondary education with additional insurance courses.
  • 5 years plus related experience in an insurance-related role (including risk management responsibilities).
  • Proficient in MS Word, Excel, PowerPoint and Outlook.
  • Professional demeanor with strong interpersonal skills.
  • Strong attention to detail.
  • Solid command of the English language (written and verbal).
  • Strong technical knowledge of corporate insurance.
  • Ability to understand/interpret insurance policy documents.
  • Strong organizational skills.
